Notice of the Glenmarie Cove Residents and Owners Association (GCROA) Annual General Meeting 2013

 The next GCROA AGM will take place on Sunday 24th March,
3.00 PM sharp, at No. 22 Damar Bayu 5, Precinct 2.

Registration and  payment of annual subscription from 2.00 pm

Meeting Requirement

According to the Society Rules, at least one-half of the voting membership of the Society, or the voting members present should represent twice the total number of committee members, whichever is the lesser, must be present at a general meeting for its proceedings to be valid and to constitute a quorum.

So please attend to ensure that we have a quorum of members and to find out what your committee has been doing in the last year, and to air your views on what needs to be done in 2013.

Election

The present Committee retires at the conclusion of the forthcoming AGM and they are eligible for re-election. A Member of the GCROA may nominate any Member he or she deems fit and proper for the Committee.

There are eleven (11) posts to fill: President, Vice President, Secretary, Assistant Secretary, Treasurer, Assistant Treasurer and five (5) Committee Members. A nomination form is being distributed with this notice and also can be downloaded from the blog site or completed on the day of the election.

Please consider the person(s) you believe will be of good service to our Glenmarie Cove community. Some of them you already know; perhaps you can judge from the comments they have made in the blog or from emails that circulate around the community. If you wish to serve yourself, talk to your GC friends and neighbours and ask them to nominate you.

Some of the current committee members have declared that they will not be standing for election again, so it is essential for new people to come forward and stand for a committee post. GCROA can only function if owners and residents dedicate their time and efforts to running the association and organising events.

Residents who are not members of the GCROA may attend the AGM and be eligible to vote if they become members on or before 24 March, 2013. Current members must be paid up for 2013.

Agenda

(i)          To receive and adopt the minutes of the previous annual general meeting;

(ii)         To receive and adopt the Committee’s report on the working of the Society during the previous year;

(iii)        To receive and adopt the Treasurers’ report and the audited accounts of the  Society for the previous year

(iv)        To elect a Committee and to appoint auditors for the period of two years;

(v)         To transact any other matter for which 7 days notice in writing has been  given. This notice should be hand delivered to the President at 22 Damar Bayu 5, Precinct 2 or the Secretary at 2, Jalan Damar Laut 2B, Precinct 1.

CURRENT GCROA MEMBERS MUST BE PAID UP FOR 2013 IN ORDER TO VOTE FOR THE NEW COMMITTEE MEMBERS AND PARTICIPATE IN UPCOMING SOCIAL EVENTS

    Does this mean that if any member of GCROA wants to bring up matters to discuss in the AGM becisde the agenda above, they need to hand it to the president in writing?

    • This rule is intended for matters that require a resolution to be adopted. For example, a member may wish to propose a new Rule or an amendment to a Rule. In the notice to the Committee, the member needs to set out the rationale for the proposed amendment and preferably the proposed wording as well. If there is any change to the proposed wording, the writer will be consulted. The agreed version will then be voted upon by members present at the meeting. Remember the supreme authority of the Association lies with the members. The Committee Members are merely your volunteer work horses.
